ClinicDay brings scheduling, patient flow, surgery, payments, and reporting together in one connected system designed for spay/neuter programs.
Designed with clinic leadership, veterinary staff, and volunteers.
ClinicDay wasn’t created by a software company. It started during a clinic day.

At the time, I was volunteering with our local humane society and helping promote the spay/neuter program through photos and social media. One day, our veterinarian pulled the board president and me aside.
The clinic had been operating for about six months and was growing. She told us that to continue growing safely and sustainably, we needed better systems in place to manage patient information, documentation, and clinic operations.
Like many nonprofit organizations, we couldn't afford the traditional veterinary software designed to do those things.
The board president looked at me and asked if I could build something.
I had no idea what a PIMS (Practice Information Management System) was.
But I knew the clinic needed help. And I knew we couldn't afford the alternatives.
So I got to work.
What I discovered was that the biggest challenge wasn't paperwork. Critical knowledge lived inside a handful of people's heads. The clinic depended on those individuals being present because there was no easy way to share what they knew with the rest of the team.
I wanted to change that.
ClinicDay launched in March and immediately became part of every clinic day.
I knew it was working when volunteers started using it confidently on their own and began suggesting improvements and new ideas.
Then they started saying something else:
Other clinics need this.
I agreed.
Because if one volunteer-driven clinic needed better systems to continue helping animals, there were probably many others facing the same challenge.
ClinicDay exists to help spay/neuter programs spend less time managing paperwork, less time relying on institutional knowledge, and more time helping animals and the people who care for them.
ClinicDay takes the friction out of clinic day so your team can spend more of it where it matters.
Replace paper forms, handwritten logs, disconnected spreadsheets, manual calculations, and duplicate data entry with one connected system.
Give staff, volunteers, veterinary technicians, and veterinarians a shared view of patients, services, clinic status, and operational tasks throughout the day.
Built-in instructions, reminders, warnings, visual indicators, and automation help teams follow established processes while reducing cognitive load and simplifying training.
Seven connected modules carry a patient — and your team — from the first appointment request to the end-of-day report.
Manage appointment requests, patient records, service selection, and clinic capacity.
Guide volunteers through patient intake, consent verification, payments, and clinic-day preparation.
Track patients from arrival through surgery, recovery, and release.
Document DKT preparation, administration, bottle usage, and transaction history.
Track vaccine administration, generate rabies certificates, and document microchip information.
Manage charges, discounts, donations, refunds, and financial reporting.
Monitor clinic operations, capacity, finances, and organizational performance.
Walk through the actual workflows your team would use.
See every screen in actionIntuitive, visual, and easy to learn. Every screen helps staff and volunteers find information quickly, complete tasks confidently, and keep clinic day moving smoothly.
A single, live picture of the entire clinic day — every patient, their stage, services, and outstanding tasks at a glance.
ClinicDay was built alongside the team using it in real clinic operations, from leadership and the front room to surgery, recovery, and veterinary care.
Veterinarian
Going back to the old process is not an option. I would quit.
Before ClinicDay, there was no easy way to see what the entire day looked like. Now we can look at one screen, see the patients we have and what each one needs, and act on that information in real time. Accurate controlled-drug records matter to me because it is my DEA license. ClinicDay gives me peace of mind because we can see which animal received each dose, how much was given, and which bottle it came from.
Leadership
ClinicDay has made the clinic operation more efficient and eliminated opportunities for error.
Operations
Before ClinicDay, clinic information was managed through paper forms, spreadsheets, and verbal communication. Having a clear system in place helps create accountability, improves organization, and provides a more consistent experience for both the clinic team and pet owners.
Front Room
Everything is in one place, so everyone can find the portion they need at any time. We have the information instantly and nothing gets lost.
Back Room
I walk into clinic mornings knowing exactly what to expect. We are more prepared, more organized, and more efficient. As a recovery volunteer, I feel more confident that services will be administered accurately because of the electronic recordkeeping and built-in safeguards.
ClinicDay pricing has two parts: getting your system ready and ongoing support after you go live.
Implementation
There is a one-time implementation fee to get ClinicDay ready for your program. This fee is separate from your annual or monthly support plan and is paid before setup work begins.
Up to five approved clinics can join ClinicDay as Founding Clinics.
Founding Clinics receive a reduced $1,000 implementation fee.
For standard ClinicDay implementation, I will give you the price in writing before any setup work begins.
